MAP Sweep Desk is a service of Internet Physics, Inc.
Who we are
This policy explains how MAP Sweep Desk, a service of Internet Physics, Inc., a Delaware corporation (Delaware file number 10348328), collects and uses personal information. "We" means Internet Physics, Inc. acting under the name MAP Sweep Desk.
What we collect and where it comes from
People we contact
We collect only business contact information: a person's name, job title, business email address and the company they work for. We contact people only in their business role. Every email we send names MAP Sweep Desk as the sender, gives our postal address and lets you opt out.
We find brands in the AAFA (American Apparel & Footwear Association) membership directory, and we check them against company websites, public company-size data, published MAP policy pages and public retailer, marketplace and Google Shopping pages. We look for the head of e-commerce, sales operations or customer compliance and the VP of sales at those brands. A sales-rep or e-commerce agency that works with a brand may tell the brand about our MAP finding; the brand then asks us for it by email. We reply by email, and we never call or text numbers an agency gives us.
The free MAP finding
The MAP finding uses public information about a brand's business: product names, style numbers, MSRPs, its published MAP policy text, and the advertised prices, sellers and links on public retailer, marketplace, Google Shopping and brand pages, read without any account. It needs no records from the brand. It is about products and prices; where a seller trades under a person's own name, that name can appear in the seller's listing, link or capture.
Customers
A customer gives us its name and the name, title and work email of the person who signs the order, and the emails it sends us. For the work it sends its MAP price list, notice template and escalation steps, and for a Retailer Protection Sweep its authorized-retailer list. If a prospect sends any of these before an order is made, we keep them confidential and use them only for that order. We read public retailer, marketplace and Google Shopping pages without any account, and we never ask for access to a customer's accounts.
Emails and our website
We keep the emails people send to hello@mapsweepdesk.com and our replies, because they are the record of what we agreed.
Our website has two short forms. The request form asks for your work email and your company's website, so that we can send you what the page offers. The order form asks for your name, your work email and your company's name (and your title where an order is signed), so that we can confirm and carry out your order. Each submission reaches our mailbox as an email with the date; we keep no other copy. We use a request only to email you about that offer, send what the page offers and keep a record of the request, and keep it as we keep business contact information about people we have contacted; an opt-out puts your address on our do-not-contact list. We keep an order as we keep other customer records.
Our website at https://mapsweepdesk.com is a set of static pages. It has no login and no advertising trackers, and it sets no cookies of its own. It counts visits with analytics we run ourselves (Umami, on our own server, shared with no one), which record the pages viewed, the page that linked here, the browser, device type and language, an approximate location worked out from the IP address (which is not kept) and actions on the page such as using the calculator, including the figures entered in it rounded to two significant figures; they never record what anyone types into a form. Its only forms are the request and order forms described above. The provider that serves it may log technical data, such as IP addresses, to keep it running and secure.
Information we handle for customers
When we work for a customer, the personal information we handle on its behalf belongs to the customer. We use it only to do the work the customer ordered and as the customer instructs. We do not sell it or use it for anything else. We keep it with the customer's records for as long as described below, and we return or delete it earlier when the customer asks.
This information is about the sellers and retailers in a customer's market: the names of the people on its authorized-retailer list if that list names any, and the public contact details a seller's page shows, which we add to the customer's violation list and seller history. It comes from the customer and from public pages. We use it to build the customer's list, cases, seller history, notice drafts and reports. We keep it as we keep other customer records, as described under "How long we keep it", because repeat-violator drafts rely on the seller history. We never sell it, never use it for another customer, and never contact a seller; the customer sends every notice itself.
How we use information
We use personal information to decide whom to contact and to write to them about MAP Sweep Desk; to prepare the free MAP finding and do ordered work; to answer emails and keep records of what was agreed, including consents to automatic renewal; to honour opt-outs and the requests this policy describes; and to meet legal obligations. We do not sell personal information, share it for cross-context behavioural advertising, or use it to make decisions that have legal or similarly significant effects on a person.
Who we share it with
We share personal information only with service providers that process it for us (our email provider, our email sending tool, our domain and web hosting providers, and the software providers we use to read and write our emails and prepare our work); with a customer, when the information concerns that customer's own work; and where the law requires it. We do not sell or rent it.
How long we keep it
We keep business contact information about people we have contacted for up to 24 months after we last contacted them, and then delete it. We keep customer records and emails for as long as the customer relationship lasts and for 3 years after it ends, so that we can show what was agreed. If you opt out or ask us to delete your information, we keep only your email address and the date on our do-not-contact list, so that we never contact you again.
Your choices and rights
Opting out. Reply "unsubscribe" to any email from us and we will not email you about MAP Sweep Desk again. We act on opt-outs within 2 business days.
Access, correction and deletion. Anyone may ask us what personal information we hold about them, ask us to correct it, or ask us to delete it, by emailing hello@mapsweepdesk.com with the subject "Access", "Correct" or "Delete" from the address concerned. We reply by email within 30 days. When we delete, we remove the information from our mailbox, our sending tool and our files within 30 days and confirm by email, keeping only the do-not-contact entry described above. We do not treat anyone differently for using these rights.
Security
We store personal information only with the kinds of service providers this policy names and in our own files, and we give access only to the providers that need it for the purposes above. No method of storing or sending information is completely secure.
Children
MAP Sweep Desk serves businesses. We do not knowingly collect personal information from children under 16.
Changes to this policy
We may update this policy by publishing a new version on this page with a new effective date. If a change affects how we use information we already hold about our customers, we email them before it applies.
